BASIC BOOK-IT 2000 FUNCTIONS:
The Book-It! series of applications feature integrated
databases, which translates to less work for you, more efficiency and organization. The basic
databases include:
- Venues:
Featuring fields to place both the
name of the Venue and the company / agent responsible for booking the venue, the venue data base is tailored to meet your needs.
Itineraries, mailing labels and various reports are just part of the features of this
database.
- Artists:
All the information that you need to
track your artists and their needs, is contained on one data record. The artist database has fields to house the members associated to each
artists, itineraries and reports. Holds and blocks for each artist can be applied to any
date, and cross-referenced to the potential purchaser.
- Contracts:
Select information from the Venue and Artists data bases to be
automatically defaulted onto your contract. The contract can be customized to match your current
contracts. Information on agency splits, commissions and deposits is all at your fingertips.
- Promo Track:
Want to be reminded when contract deposits are due??? Want to be
automatically reminded when you need to send out promotional material. No problem!
The promo track database automatically creates reminders for you each day, based upon
the contract information that you enter, so that you can stay in control

Book-It2 has additional databases to help you stay on top of your busy agency. These
databases have been developed to help you and your artists become more profitable.
SCHOOL ORGANIZATIONS:
Keep detailed listing, designed
to better control your marketing costs and pin-point potential dates that are falling through the cracks.
PRODUCER/PROMOTERS: Casting Directors, Producers and potential clients can all be
housed in this data base. Information from this database can also be cross-referenced to
other databases.
QUOTES/SCHEDULES:
Did
you ever wanted to see what a specific buyer was quoted. Depending on how the quotes are
entered, review the quotes by artist and/or by Purchaser. Automatic feature also turns the
quotes into a Hold on a specific artist’s date. SCHEDULES. It keeps track of specific
daily schedules of the clients that you represent. In addition, use our cross-reference
functions to be able to view what Casting Director, Agency or other databases that cross
reference with your artist. Know how many times that you have sent the artist out to a
specific entity. Know when you have scheduling conflicts.
CONTRACTS
ADDITIONAL REPORTS
- SPLIT POINT VS. DOOR PROCESSING.
Need to establish split amounts, vs Guarantee. BK2 allows all of
that. Also keeps track of up to 4 different ticket tiers and Day-of-Show differences
- BUY/SELL AMOUNTS
All the information that you need to keep track of Buy/Sell contracts using
only contract. Keep track of deposits, not only due to you, but due back to artists or
agencies. Be able to produce two different contracts, one for the artist and one for the
Buyer - all from one Book-It2 contract.
- GENERAL LEDGER PROCESSING
A feature rich general ledger with all the abilities to keep up with
even the most advance companies. The system features Account Receivable/ Account Payable,
Check Writing and reconcilement.
