Training
We always want our customers to be able to get the most out
of the system that they purchased. In order to ensure that you have all
the learning tools available to you, EBT has the following training
guidelines for all products.

Conversions
If you have databases or 'lists' that you want to
convert into Book-It2000, first consider using the Import/Export
routine. The Import/Export routine is available for all Book-It2000
series software except for contracts and add-on products (i.e. Production
Event Worksheets- PEMWksht)
At times, we are requested to convert data from different databases to
Book-It!2000. What we need from you in order to accomplish a successful
conversion is:
- A Tab Delimited file for each 'table' or
'module' that you want us to convert. For example, a file for
artists would be one 'table' a file for contracts would be another
table.
- We will require some assistance from you
and your staff on the mapping of your database fields to our.
There is a base fee of $ 250.00 per table
conversion, where we receive the file in tab delimited format, with
"field names" in the first row of the database.
All conversions must be scheduled in advanced, and are scheduled on a
First-Come, First- Serve basis. Conversion time requires up to 20 working
days, from the time that we receive your data. If we don’t have
sufficient information from you, or cannot get the answers that we need,
the conversion process can take much longer.
What if I can't provide our data in 'Tab Delimited'
format? Our charge to convert it to a tab delimited format is
$65.00 per hour, plus any extra expenses we may incur for contacting
and/or working with third parties.

Add-In Mail Lists
From time to time, EBT offers Add-In mailing lists, from third
parties, where we receive data from third party, and then make it
available to our clients. EBT will automatically format and
incorporate the data for your database - to the point to where you only
have to run the import function. The cost of the databases differ
based upon content. Please contact EBT for further details.
Web Site Hosting:
Through an agreement with one our partner's, CommStat.com - we
can offer web-hosting to current clients.

CommStat.com will allow you to automatically upload your artist's
itineraries - as well as information about each one of your artist.
Automated Back-up & Housing of Book-It2000
data:
Although everyone knows that backing up of data is a good
thing; knowing it and doing are two different things. EBT has now
implemented an automatic back-up system which automatically archives all
your data related to Book-It2000 -AND- also sends it to EBTs server's for
safekeeping.
REMEMBER! Just backing up your data
doesn't help, if you don't have an offsite copy. If you don't use
our service - please make your own backups - and take those back-up files
off-site.

Training
- All training has to be scheduled in advance. We schedule on a
first-come, first-serve basis. {In the event that the scheduled time
is missed, due to unavoidable circumstances at EBT, we will do
everything we can to re-schedule at your convenience.} It is wise to
try to reserve training time at least 5 business days in advance.
- Before any training can be started, either full payment or a
payment plan has to be initiated. Full payment or the initial
payment & payment plan have to be received before training can
start.
- Additional training hours can be requested at any time. The cost
for each training hour is outlined in the attached ‘Fees &
Services’ schedule.
About the Training Sessions
The training sessions, off-site,
are conducted via the telephone with our Technical Support
personnel. The training sessions are in two hour segments. An
initial training session covers an overview of the Book-It2000 application
that you are using, all the features and functions that you have
purchased.

On-site training sessions are
available. If there are five or more personnel, on-site training can
aid in getting the entire office up and running. All on-site
training sessions have to planned out at least 21 days in advance.

Conversions
How do you 'start' the conversion process -
or determine if a conversion is even feasible.
1. First contract EBT with your initial request, providing us with
as much information as possible.
2. Next, we will request you send a sample of the data to be
converted.
3. Once we receive the data, we will analyze it to determine if a
data conversion is feasible and necessary.
** Steps 1- 3 are free of charge **
4. We provide with a summary of our analysis and estimated cost
for conversion. If we can have assistance from you in
"mapping" the old database fields to the new Book-It2000 fields - you
conversion cost(s) will be much lower.
5. Once an estimation is agreed upon, a 50% deposit will be
required.
6. We will coordinate actual conversion dates and database
exchanges with you. Actual conversion exchanges - usually occur
on a Friday. Remember, the database has to be in comma-delimited
format, prior to sending it to EBT.
What we need from you in order to accomplish a successful conversion is:
- The database. The format of the database
if you know it.
- Assistance in ‘mapping’ the fields
on the old database to the ones in Book-It 2000.
